We are looking for an experienced Lead Payroll Specialist, to support our Canada and USA operations with full-cycle payroll administration and compliance in a multi-State and Province payroll environment.  The Lead Payroll Specialist will directly lead the USA Payroll Specialist while managing and administering Canada payroll. The ideal candidate is detail-oriented, analytical, and methodical with experience in payroll administration and deep knowledge of payroll regulations. Responsibilities will include leading one direct report (based in the USA), implementing a new payroll and time tracking system, management of employee data, computing wages, and timely and accurate payroll submission. The successful candidate will ensure current, compliant, and efficient payroll procedures across Canada and the US.


• Prepare employee records for payroll processing in a multi company, multi currency payroll environment

• Manage the configuration and use of multiple Payroll systems (ADP/Paycor/Paymate)

• Process payrolls on a weekly, bi-weekly, and monthly basis

• Directly lead the USA Payroll Specialist

• Provide a high level of service and support to employees, HR and Finance

• Assist employees with questions about their wages, taxes and/or deductions listed on their remuneration statements as needed

• Support the implementation of a new payroll and time tracking system for all US and Canada Companies

• Prepare reports for review and analysis of payroll ensuring accuracy and integrity

• Coordinate with Controller to ensure all required financial/tax information is setup in payroll system

• Prepare payroll related journal entries to ensure timely accounting

• Audit reports during payroll processing for benefits, including prepayments, refunds and any additional deductions for arrears

• Process prepayments of benefits received by employees prior, during or after leaves of absence

• Assist with provision of information for internal and external audits as needed

• Stay informed with Union agreements and reflect amendments in payroll records accordingly

• Stay informed with State/Government based prevailing wage laws and regulations

• Complete “certified” payroll reporting when required

• Year End T4/W2 reconciliation preparation and filing

• Provide cash flow forecasting to the planning team as requested

• Other tasks and responsibilities as required

Required Skills and Qualifications

•Strong excel skills (Data manipulation – queries, pivot tables, VLOOKUP’s, etc.)

•Experience with Paycor, ADP and certified payroll reporting preferred

•Process development and implementation experience preferred

•Experience with government contracts: prevailing wages, supplementary benefits, preferred

•Ability to self-manage with proven initiative and client focus

•Strong problem-solving skills, and the ability to work with minimal supervision

•Must be able to work in a dynamic work environment

•Excellent time management skills with an attention to detail

•Team player with excellent communication skills both written and verbal

•Strong leadership skills to engage, develop and retain team members

•A positive, “can-do” attitude

•Ability to travel between USA and Canada (minimal needs)

•8 + years of experience in Canadian and US payroll
